A customer who calls after you close isn't being rude. They're ready to book, right now — and if nobody answers, the next name on Google gets them. Here is what to say, and how to make sure someone always does.
Why after-hours calls matter more than daytime ones
People call after hours when they finally have a free moment: after work, after the kids are asleep, or when a toothache won't wait for morning. That caller has already decided they need you. A daytime caller might be comparing prices; an evening caller usually wants a slot.
So the after-hours call is one of the most valuable calls you get — and the one you're least likely to answer. For dental clinics it's the toothache at 10 pm; for PGs and hostels it's the student asking about a room at midnight.
What a good after-hours answer sounds like
Whoever or whatever answers, the call should do four things in under a minute:
- Greet with your business name. “Good evening, Smile Care Dental.” The caller knows they reached the right place.
- Ask what they need. “How can I help you?” — not a menu of options.
- Offer a real slot. “Dr. Arun is free tomorrow at 10:30 am. Shall I book it?” A specific time turns interest into a booking.
- Confirm on WhatsApp. “I've sent the details to your WhatsApp.” Now they have it in writing and are far less likely to forget.
Lines to use
- When you can book: “I can book you for tomorrow at 10:30 am or 4:00 pm. Which suits you?”
- When the owner must decide: “Let me check that with the doctor. You'll get a reply on WhatsApp first thing in the morning.”
- When it's urgent: “If it's an emergency, please call [your emergency number]. Otherwise I can book the first slot tomorrow.”
Lines to avoid
- “We're closed, please call tomorrow.” — they won't; they'll call someone else tonight.
- Anything that guesses a medical, legal or price answer you haven't confirmed. It's better to promise a reply than to give a wrong one.
Who answers at 10 pm?
You have three options: answer yourself (and never switch off), pay someone to stay late, or forward the calls you miss to a receptionist that never sleeps. Anssay does the third — it answers in English, Tamil or Hindi, uses only the answers you've approved, books the slot and sends the WhatsApp confirmation. Anything it isn't sure about comes to you in the morning. See what it costs on our pricing page.
